Missed call text back calculator

Every missed call is a job that might go to someone else. Plug in your own numbers to see how much work a text back could recover each month. It runs in your browser. Nothing is sent or saved.

Your numbers

The starting numbers are placeholders, not industry averages. Replace them with your own.

Missed calls a month–
Jobs recovered a month–
Revenue recovered a month–
Revenue recovered a year–
Revenue at risk a month if none are recovered–

How the math works

The calculator turns your weekly missed calls into a monthly number (a month is about 4.33 weeks). Then it multiplies by the share of missed callers you think will reply to a text, the share of those replies that book, and your average job value. The last line shows what those missed calls are worth if nobody follows up at all, using the same booking rate.

Every number comes from you. We don’t plug in industry averages, because your trade, your prices, and your callers are your own.

Where to find your numbers

  • Missed calls: check the call log on your business line or your phone carrier’s app for a typical week. Count calls you didn’t pick up and didn’t call back the same day.
  • Reply rate: if you already text people back by hand, look at how many answered. If you don’t, start low and test.
  • Booking rate: of the people you actually talk to, how many end up booked?
  • Job value: your average ticket for a typical job, not your biggest one.

Not sure how many calls you miss? That’s exactly what our daily call report shows: every call from yesterday, who booked, and who slipped through.

How missed-call text back works

  1. A call goes unanswered. You’re on a job, on another line, or it’s after hours.
  2. A text goes out within seconds from your business number, something like: “Sorry we missed your call, this is [Your Company]. How can we help?”
  3. The caller replies and the conversation keeps going. You pick it up when you have a minute, or the AI receptionist books the estimate for you.

Business texting rules, in plain terms

Business texting has rules, and following them keeps your messages from getting blocked. Texts go out from a number registered with the phone carriers, which usually takes 1 to 2 weeks. Every message honors STOP so people can opt out, and texts only go to people who contacted you first. We handle the registration and setup for you.

Missed calls can cost you twice if you advertise on Google Local Services Ads. Google’s help page on how leads work says a missed call during business hours can count as a valid lead when the caller stays on the line for more than 20 seconds, and PPC Land reported the change took effect October 1, 2026. That means you can be charged for the lead even if nobody picked up.

What this calculator leaves out

It’s a rough estimate, not a promise. It doesn’t count repeat business from a recovered customer, referrals, or the callers who had already reached someone else. It also doesn’t count calls an AI receptionist would answer before they ever become missed calls. For trade-specific setups, see our pages for HVAC, plumbing, and roofing.

Want to hear one before you decide? Call (754) 291-5273. Our own AI receptionist answers, tells you up front that it’s an AI, answers your questions, and can book a quick 15-minute call with us. Or use the contact form.

Questions people ask

Is missed-call text back worth it?

It depends on how many calls you miss and what a job is worth to you. Put your own numbers into the calculator above. If even one or two recovered jobs a month covers the cost, it usually pays for itself.

Where do I find how many calls I miss?

Check the call log on your business line or your carrier's app for a typical week. Our daily call report also lists every missed call each morning.

What if the caller already called someone else?

Some will have. A text within seconds gives you a shot before they book with another company, and the calculator only counts the share you expect to reply.

Is this calculator sending my numbers anywhere?

No. It runs in your browser. Nothing you type is sent or saved.
